Aulintri Documentation
How-to guides for using the Aulintri platform. Menus and actions you see depend on your role; if something here is missing for you, ask your organization's administrator.
Getting started
Aulintri runs your freight, customs and billing work in one place: quotes, bookings, documents, tracking, customs filings and invoices. Your organization has its own workspace at its own web address, and you see the menus and actions your role allows. If a menu item in this guide is missing for you, ask your organization's administrator.
The layout
- Sidebar: the modules your role can use, such as Home, Quote Management, Customs, Shipment Management, Track & Trace, Billing, Document Management and Settings.
- Header: Search, Create (+) for quick creation, Communication, My tasks, Notifications, and Appearance: theme & mode.
- Account menu (your avatar): My profile, My tasks, Notification preferences and Sign out. Administrators also see Organization profile.
Signing in
Sign in
- Open your organization's Aulintri address and enter your Email address and Password.
- Tick Remember me only on your own device. Leave it unticked on a shared computer.
- Click Sign in.
- Complete the second step. Every sign-in needs one:
- Emailed code: on Check your email, enter the 6-digit code from your inbox under Verification code, then click Verify & Sign in. Use Resend code if it doesn't arrive.
- Authenticator app: on Open your authenticator, enter the 6-digit code from your app, or one of your recovery codes, then click Verify & Sign in.
For your security, Aulintri signs you out after a period of inactivity.
Accept an invitation
- Open the invitation link from your email. It can be used only once.
- On Set your password, check the email shown under Signing in as, enter a New password and Confirm password, then click Set password.
- Click Go to sign in and sign in with your new password.
If the page says This link can't be used, the link has already been used or has expired. Ask your administrator to resend your invitation.
Password rules
Passwords need at least 12 characters, with an uppercase letter, a lowercase letter, a number and a symbol. Use Generate strong password to create one, and Copy to save it in your password manager.
Reset a forgotten password
- On the sign-in page, click Forgot password?.
- Enter your Email address and click Send verification code.
- On Set new password, enter the Verification code, your New password and Confirm password, then click Reset password.
Your account
Set up an authenticator app
- Open the account menu and choose My profile.
- In Two-Factor Authentication, click Set up authenticator.
- In your authenticator app (for example Google Authenticator, 1Password or Authy), add a new account using the setup key shown.
- Enter the six-digit code the app shows and click Confirm.
- Save your recovery codes with Copy or Download, then click Done. Each recovery code works once, and the codes can't be shown again.
To remove the authenticator, click Remove authenticator and confirm with a current code or a recovery code.
Change your password
Go to My profile and use Change Password. You'll need your current password.
Appearance and notifications
- Appearance: theme & mode in the header sets the theme (Aulintri Brand, Aulintri Classic or Harbor Light) and the mode (Light, Dark or System).
- Density in the account menu makes tables more or less compact.
- Notification preferences in the account menu controls which notifications you receive.
Team and access
These tasks need an administrator role, such as Business Admin.
Invite a user
- Go to Settings > People and click Create User.
- Fill in Identity (name, job title, work email) and Access (role, reports to). Customs roles also have Licence & filing authority fields.
- Under Security & notifications, choose the Second factor: emailed one-time code or authenticator app. People set up an authenticator themselves, from their profile.
- Click Send invitation. The person receives an email and sets their own password.
Change or remove access
- To change someone's role or details, open the user's row menu and choose Edit user, then Save Changes.
- To remove access, choose Archive user. Archived users can't sign in, and can be restored later with Restore.
Roles
Settings > Roles lists your organization's roles. Use Create Role for a custom role. Built-in system roles can't be renamed or deleted.
Client workspaces
You can give each of your own clients a private workspace, where their users see only their company's quotes, bookings, documents and invoices.
- Go to Settings > Client Workspaces and click Onboard Client.
- Work through the steps: Company, Address, Contacts, Banking & Authority, Administrator & Users, and Customs (only if the client needs customs clearance). Then Review.
- Click Onboard Client. Use Save Draft to finish later; unfinished onboardings show Resume.
Navigation order
Business Admins can reorder the sidebar for their organization in Settings > Navigation by dragging rows. Reset to default order restores the original order.
Home dashboard
Home is your own dashboard of widgets.
- Click Customize.
- Click Add widget and drag widgets from the Widget library onto the grid, or click a widget to add it.
- Click Done to save. Changes made while customizing are saved only when you click Done.
Use New view to keep several dashboards. Each view's menu has Rename, Duplicate and Delete view. On other screens, Add to Home places a widget on a view you choose.
Quotes
Create a quote
- Go to Quote Management and open New Quote. Choose Start from scratch, Use a template or Clone an existing quote.
- Optionally use Auto-fill from a document (see Documents and AI auto-fill).
- Complete Client & Recipient, Shipment Details, Cargo Details, Customs Details (including the Product HTS Code, country of origin and declared value) and Shipping Terms.
- Add your charges, then click Next to review. Use Save as Draft at any point, and Export PDF for a copy.
Send a quote
Click Send to Customer, add an optional note, and confirm with Send to customer.
When your customer responds
The customer opens the quote and chooses, in the Decision card:
- Approve, or Approve & request booking.
- Reject quote.
- Request changes, with a note.
The quote's status (Sent, Viewed, Accepted, Declined, Expired or Changes requested) updates in your list.
Shipments and bookings
Create a booking
- In Shipment Management, open New Shipment and choose Start from scratch, Use a template or Clone an existing shipment.
- Fill in Parties, Routing (carrier), Equipment & Cargo and Shipping Terms.
- Click Continue through the options and review steps, then Create Shipment. Use Save as draft to finish later.
Booking requests from customers
When a customer approves a quote and clicks Book Now, the request appears in Customer booking requests. Choose Accept & book or Decline booking, with an optional reason.
Change a confirmed booking
Open the booking, click Amend, make your changes, then Save changes. Choose a Reason code and add a note. Every amendment is recorded under Amendment History.
Each booking has tabs for Details, Revenue and Costs, Invoices, Documents and Tracking.
Documents and AI auto-fill
Upload a document
- Go to Document Management and click New Document.
- Choose a file, scan with your camera, or use a network scanner. You can also drop a file into the window.
- On Review document, choose the Document Type, and optionally the Client and Related Shipment, then click Upload document.
Auto-fill a form from a document
Quotes, customs entries and ISF filings can be filled from a document such as a commercial invoice or packing list.
- Click Auto-fill from a document and drop in a PDF, image or spreadsheet.
- Click Extract & fill form.
- Filled fields are marked Pre-filled. Check each one against your document and confirm it, or use Confirm all once you've checked them.
AI-filled values are suggestions. Nothing is saved until you confirm it, and compliance-critical fields, such as HTS codes and declared values, always need your review.
Track and Trace
Track & Trace shows every shipment in motion, with its containers and milestones.
- To follow a new booking, use Start tracking a booking: enter the carrier booking number or bill of lading and click Track.
- To check a shipment quickly, use Carrier lookup: enter a booking, B/L or container number and click Look up.
- Open a shipment to see the Voyage Overview (bills of lading, carrier, vessel, voyage, departure and arrival, ports and transshipments), the Shipment Timeline, and each container's journey.
Customs
Customs is available when your organization has customs enabled. Customs filings are made by your licensed customs broker; Aulintri prepares and checks them.
ISF filings
- Go to Customs > ISF and click Create ISF.
- Work through the steps: Filing details, Bills of lading, Parties, then Review & transmit.
- Click Transmit to Customs. You can later Amend ISF or Delete from Customs.
Entries
- Go to Customs > Entries and click Create Entry, then complete the Entry Summary. Use Save Draft at any point.
- Click Validate to run the checklist. A passing entry goes to a Licensed Customs Broker for review.
- The broker chooses Approve or Reject (a reason is required).
- After approval, use Prepare filing package, and Record as filed once the entry has been filed.
Statements
Go to Customs > Statements and click Generate Statements. Choose how they're grouped: as each importer prefers, one statement per entry, or a shared statement.
Billing
Invoices
- Go to Billing > Invoices. AR: Receivables lists what you bill; AP: Payables lists what you owe.
- Use New Invoice to create an outgoing invoice or credit note, or an incoming invoice (a bill from a vendor) or credit note.
- On an invoice, use Preview, Download, Record Payment, Mark Paid, Record Credit Note, Void or Reopen.
Record a payment
Click Record Payment, then enter the Amount to record, the Method, the date it was Received on, and any Notes. Payments appear in Billing > Payments.
Recurring invoices
Go to Billing > Recurring and click New Template. Set the template, subject, terms, schedule and end date, then click Create Template. Each template can be paused, resumed or ended.
Connect Zoho Books
- Go to Settings > Integrations, choose Zoho Books, and click Connect.
- Sign in to Zoho and grant access, then select the Zoho organization to use.
- Invoices show whether they've synced to Zoho Books.
Tasks, messages and notifications
- My Tasks shows your work: handed back, overdue, due today, upcoming and completed. Use Create task to add one, with a title, screen, priority, assignee and due date.
- Communication in the header holds Chat, Email and Text in one place.
- Notifications in the header lists updates. Use Mark all read, or filter by category.
